Conference and Event Transport for Delegations
Madar Transport runs conference transport in any city in Egypt — from Mansoura and the Delta to Cairo, the New Administrative Capital and Sharm El Sheikh — with whole vehicles and their drivers from 14 to 50 seats: delegates met at the airport and a repeating hotel-to-venue shuttle, on a written operating schedule for every day of the programme. Send us the programme on WhatsApp and we reply with the schedule and a quote within the day.
We rent the whole vehicle with its driver — not tickets or single seats. The smallest we run seats 14.
Conference transport is not a trip, it is a timetable. Delegates arrive on different flights, stay across several hotels, and have to be in the hall before a session starts — every day, and more than once a day.
So we work from the printed programme rather than from a trip request. Send us the session times, the hotel list and the delegate count, and we come back with an operating schedule: how many vehicles, moving when, and between which points.
Vehicles and drivers are assigned to the conference for its duration, so the same driver knows the route and the hotels by day two — which saves more time than anything else we could do.
And we run the conference anywhere in Egypt — no particular city required; the places are listed below. A conference in a small university town or a remote resort runs the same way.
And we bring delegates from home — from any district or village in Dakahlia, Sharqia, Gharbia, Menoufia, Qalyubia, Beheira and Kafr El Sheikh — in one coach that delivers them to the venue and returns them.
- Airport arrivals timed to each delegate's flight
- A repeating hotel-to-venue shuttle on fixed timings
- Vehicles and drivers dedicated for the whole programme
- 14 to 50 seats — sizes matched to each movement
- Direct coordination with the organiser on schedule changes
- Any city in Egypt — Mansoura and the Delta, Cairo and the New Capital, the Red Sea, Alexandria, the Canal and Upper Egypt
- Regional delegations to a conference in Cairo or Sharm — collected from home and returned in the same vehicle
- An official invoice in the organising body's name, carrying our commercial registration and tax card numbers, and a receipt for every payment

Who this service is for
Conference organisers and event companies
Those who hand over a printed programme and want a written operating schedule back — not a phone agreement.
Universities and medical centres
Scientific conferences that recur every year, with delegations from outside the governorate and outside Egypt — such as those hosted by Mansoura University and its medical centres.
Companies and institutions
An internal conference or annual meeting, with participants arriving from different branches and governorates to one place.
Regional delegations
A group from Dakahlia, Sharqia or Gharbia heading to a conference in Cairo or Sharm — collected from their own town and returned in the same vehicle.
What we need from you to build the schedule
Five things, and we return a written schedule within the day:
1. The programme with session times from the first day to the last. 2. The hotel list and how many delegates stay in each. 3. Flight numbers for arrivals and departures — or at least the times. 4. The total number of delegates and any special needs, such as wheelchair access. 5. One point of contact on your side, so every change comes from one place.
The schedule you get back states the number and size of vehicles, departure times, and the driver responsible for each. Arrival day is split into waves by flight time, and so is departure day — not one bus in the morning waiting for everyone.
We size each movement individually: a 14-seat HiAce for speakers and VIPs, a 21-25 Coaster for one hotel to the venue, a 28-33 midibus for a regional delegation, and a 49-seat coach for the excursion day and the gala dinner.
If delegates arrive with suitcases — from the airport or from another governorate — and want them in an enclosed hold, that movement needs a midibus or a coach. The Coaster carries bags on its roof under a net, and in the HiAce they ride inside with the passengers.
An illustrative example of the schedule's shape: a three-day conference, 90 delegates in two hotels away from the venue. Arrival day is split into waves by flight — a HiAce for the small waves and a midibus for the larger ones with their bags. On session days, a coach per hotel in the morning and the afternoon, and a HiAce dedicated to the speakers. Departure day runs in waves to the airport, like arrival day. The numbers and sizes change with your programme — this is only the shape of the written schedule you get back.
